Delivering and sharing a report

Prev Next

Send each take by email and Slack, share a take with a link, and download it as a PDF or spreadsheet.

Before you begin

  • To send to Slack, your account needs the Slack integration connected, and the XpertOS bot must be invited to each channel. See Connecting other integrations.

Things to note

  • Tenant admins can switch share links off for everyone. See Control share links.

  • Sending a take, creating a share link and changing delivery settings are for people only. The Assistant and Xperts cannot do them.

Set who gets each take

  1. Open the report from Analyse > Reports.

  2. Under Delivery, choose When a take is ready:

    • Hold for review: each take waits for someone to read it and click Send.

    • Send automatically: each scheduled take is sent as soon as it is written.

  3. Under Email, type an address and press Enter. You can add up to 50 addresses.

  4. Under Slack channels, search for a channel and select it. You can add up to 10 channels.

  5. Optionally, select Include a share link (anyone with it can read the take until it expires) and Attach the PDF to emails.

  6. Click Save delivery.

With no recipients, takes are published in the app and sent nowhere.

Only scheduled takes send themselves

Send automatically applies to scheduled takes only. A take you run with Run…, or one run from the Assistant, a ticket or a flow, is held for review even in this mode, so running an old period again never sends it to everyone again.

Send a take

  1. Open the take.

  2. Click Send.

The take lists each recipient with its state: Sending…, Sent (with the time) or Failed (with the reason). If some failed, fix the cause and click Resend failed. This retries only the failed recipients.

What the email and Slack message contain

The email carries your house style's logo and header text, the report name and period, the headline numbers with their change, the hero chart, the summary and an Open the full report button. If you include a share link, it also has a View without signing in button. If you selected Attach the PDF to emails, the PDF is attached, unless the message would be too large, in which case the email says so.

The Slack message carries the headline numbers, the headline and summary, a View report button and, with a share link, View without signing in. It has no chart.

To change what the message leads with, click Edit what the email shows above a take, or use the Delivery tab in the design workspace. See Creating and designing a report.

A share link shows one take, exactly as it is, to anyone who has the link, without signing in. It never shows a newer take.

Anyone with the link can read the take until the link expires or you revoke it. Share it only with people who should see that data.

  1. Open the take and click Share.

  2. Set Expires after a number of days. The default is 30, up to your account's limit.

  3. Click Create link, then Copy. The link is shown only once, so copy it now.

The Share this take dialog lists the take's links. Each shows whether it is Active, Expired or Revoked, its expiry date and how many times it has been opened. To stop a link working, click Revoke. The shared page has a Download PDF link.

Download a take

Click Download above a take and choose a format:

Option

What you get

PDF

The take as a print-quality PDF, in your house style's page size.

All datasets (Excel)

One sheet per dataset, with any comparison periods below its rows.

Excel for one dataset

That dataset as an Excel file.

CSV for one dataset

That dataset as a CSV file.

Downloads are built from the data stored with the take, so they always match what the take showed.

Tenant admins can control share links for the whole account. Go to Settings > Governance, which opens Control Tower, then open the Policies tab:

  • Allow report share links: switch it off to stop every existing link working until you switch it back on.

  • Longest a link may last (days): between 1 and 365. The default is 90. New links last 30 days, or this limit if it is shorter.
