Populating your Media library

Prev Next

Media is the file store in XpertOS where you upload, organise, and reuse images and assets for campaigns and AI-generated content.

These might be used as banners, heroes, logos, product visuals, or many other types of image within campaigns the Xperts build in your Xtremepush project.

Media was previously named Asset Library. Navigation and any saved links may still show the old name if your account connected before this change. For structured message copy such as email subjects, push titles, and SMS body text, see Campaign Content.

Open Media

  1. Click Content in the sidebar to expand it.

  2. Click Media.

Upload assets

  1. Click Add Asset.

  2. Select one of the accepted file types from your computer.

  3. Complete all context fields.

  4. Click Save to upload the file and add it to your library.

When you upload an image, Media records its dimensions, orientation, transparency, and makes a thumbnail. Images rendered from your image templates are saved to Media automatically, tagged and scoped to their brand.

Best practices

  • Use descriptive filenames: a clear name is easier to find later than a generic one.

  • Complete contextual fields: adding good context in description, category, and tags allows the agents to pick the best asset for the relevant job.

  • Keep image sizes reasonable: smaller files load faster in campaigns and emails. Files below 1 MB are best.

Organise your library

Media displays assets as thumbnails, so you can find what you need quickly. You can:

Action

What it does

Search

Find an asset by name, tag, type, description

Filter

Narrow the library by category, orientation, or width

Click an image to see its details, such as its description, alt text, file type, size, and image URL.

If asset pages are switched on for your account, each image also has its own page with version history, a copy sized for each channel, and a list of where it is used. See Manage images in Media.

Archive and restore images

Archiving hides an image from search, the Media picker, and Xperts, but keeps the file. Content that already uses the image, including messages already sent, keeps showing it.

  1. Open the image you want to archive.

  2. Click Archive.

  3. Under Archive this asset?, click Archive.

To bring an image back, click Archived above the library, open the image, and click Restore. It returns with the same URL.

When an image cannot be archived

You cannot archive an image while live or in-progress work depends on it. Instead, Media lists what uses the image, with links, so you can deal with each one. An image is protected while it is used by:

  • Content pinned to an open ticket, at any stage except Done or Cancelled

  • A campaign that is scheduled or live, or that has a deployment pending, deploying, or deployed

  • The current approved version of a content item

  • A published image template

To archive the image, unpin it from open tickets, archive the content item, or wait until the campaign completes, then try again. There is no override. Completed, failed, and cancelled campaigns, closed tickets, and superseded content versions do not stop an archive. Xperts cannot archive images.

Where assets are used

After you upload an asset, you can reference it in:

  • Email campaigns and templates

  • Campaign Content items (push, in-app, and web push image fields)

  • Content generated by Xpert Flows
