Setting up your Knowledge Base

Prev Next

The Knowledge Base is where you teach XpertOS about your business. Everything you add, such as brand guidelines, tone of voice, and examples of campaigns that worked, becomes reference material your Xperts draw on in chat, in flows, and during autonomous crew work. A well-stocked Knowledge Base is the difference between generic output and output that sounds like you.

Before you begin

Open the Knowledge Base

  1. Click Content in the sidebar to expand it.

  2. Click Knowledge Base.

The page has two tabs: All Knowledge shows every entry, and Campaign Examples shows entries imported from your connected Xtremepush projects.

What to add first

Start with the material that shapes how your Xperts write and plan:

  • Brand and tone of voice guidelines: these are woven into responses automatically, so content stays on-brand across chat, flows, and crews.

  • Your best campaign examples: choose a small set of real campaigns across a couple of product lines. This gives Xperts a clear model to follow. Do not include dozens of examples, this will dilute the reference and confuse the agents.

  • Reference facts: product names, offer rules, compliance wording, relevant URLs, live promotions, and anything an Xpert should never get wrong.

Create a knowledge entry

  1. Click Add Knowledge.

  2. Give the entry a descriptive Title.

  3. Choose a Category so you can filter entries later.

  4. Add the Content itself either via an upload or by writing the information directly into the text field.

  5. Make sure to set a good selection of descriptive tags as these help the agents to find a relevant entry for a given scenario.

  6. Save the entry.

Import campaign examples from Xtremepush

The campaign content (email only at launch) is saved as knowledge entries your Xperts can reference when creating campaigns. This context allows the Xperts to create similar content to match your branding and general formatting. Large imports finish processing in the background, so entries may take a few minutes to appear.

  1. Switch to the Campaign Examples tab.

  2. Click Import from Xtremepush.

  3. Search or browse the campaigns synced from your Xtremepush instance.

  4. Click Import against the campaigns you want to bring in.

How Xperts use what you add

  • Your assistant references entries when answering questions and drafting content.

  • Flows use the Knowledge Base for context in AI steps.

  • Crews query it during brief execution and can contribute new entries from their findings.

Keep it useful

  • Keep entries focused: one topic or example per entry beats one giant document.

  • Categorise consistently: meaningful categories make filtering work.

  • Review regularly: remove outdated offers, expired campaigns, and stale guidance. Xperts trust what they find here.
