If your team runs its own QA checklist that goes beyond the built-in QA Specialist's checks, or you want an analyst scoped to just one data domain, you can create a custom Xpert with its own tools and instructions rather than working around a built-in one.
When to create a custom Xpert
You need a specific combination of tools not available in a built-in Xpert
You want an Xpert focused on your particular domain or use case
You need an Xpert that follows guidelines or processes unique to your organisation
Create the Xpert
Navigate to Xperts > My Xperts in the sidebar.
Click Create Xpert.
Complete the sections described below.
Name and identity
Field | Description |
|---|---|
Name | A clear, descriptive name. "Marketing Campaign Analyst" is more useful than "Agent 1". |
Slug | A URL-friendly identifier, generated automatically from the name. |
Description | What the Xpert does and when to use it. |
Appearance
Choose an icon and colour so your Xpert is easy to identify in lists and conversations.
Use Case
Select how this Xpert will primarily be used. This determines optimal AI settings for the agent based on the type of work it will likely be doing.
System prompt
The system prompt gives your Xpert its instructions: how it should approach tasks, what tone to use, and any guidelines specific to your organisation. Be specific but not overly restrictive. For example: "You are a marketing analyst specialising in email campaign performance. Always include relevant metrics and comparisons when analysing campaigns. Present data in tables when appropriate."
Ask your assistant to help
You can describe what you want the Xpert to do in Chat, and your assistant will help you draft a system prompt to start from.
Tool assignment
Select which tools the Xpert can use. Consider what data it needs to access and what actions it should be able to take. A focused tool set often performs better than a broad one.
Publish it for your team
By default, a custom Xpert is private to your account.
Open the Xpert's detail view.
Click Publish.
The Xpert becomes available to everyone in your organisation and shows a "Published" badge.
You can unpublish an Xpert at any time to make it private again.
Editing and deleting
You can update a custom Xpert's name, description, appearance, system prompt, tools, or use case at any time. Before deleting one, make sure it is not assigned to any active briefs. You cannot edit or delete built-in Xperts.
Examples
Example | Tools | System prompt |
|---|---|---|
Custom Sports Specialist | News feed, odds feed | "Your role is to find high engagement stories for upcoming events and identify where we're best priced" |
Support ticket analyst | Zendesk search, HubSpot search | "You analyse support tickets and correlate them with customer data. Focus on identifying patterns and root causes." |
Custom QA specialist | Campaign listing, content review | Tuned to your organisation's own QA checklist, rather than the general-purpose checks the built-in QA Specialist runs. |
